Privacy Policy

Event Hunter is run by CK Ventures LLC in Harrisburg, North Carolina. This page explains what the service collects, who it goes to, and how to get it back or removed. It is written to be read, not to be impressive.

What we collect

When you join the waitlist

Your email address, and where you came from — the campaign tags on the link you clicked, or the site that referred you. That is used to work out which posts and ads bring in operators, and for nothing else. No newsletter, no drip sequence.

When you have an account

Authentication is handled by Clerk, which holds your email address, name if you give one, and password or social login. We never see your password.

Inside the app, you create and we store:

• Events and applications — event details, deadlines, statuses, and your notes.
• Business settings — your business name and location, average ticket prices, margin, and the minimum an event has to clear.
• Trailers, bookings and actuals — including the revenue you record after an event.
• Staff records — names, phone numbers, email addresses, roles, and hourly pay rates where you enter them.
• Organizer contacts — names, organizations, emails and phone numbers you save against events.
• Uploaded documents — certificates of insurance, health permits, food handler certificates, business licenses, menus, photos and W-9 forms. A W-9 contains a taxpayer identification number, so treat that upload with the same care you would the paper original.

Automatically

Standard server logs, aggregate page analytics with no cookie and no cross-site tracking, and — once configured — error reports when something breaks. Error reports are stripped before they are sent: request bodies, cookies, headers and query strings are removed, and the only identifier kept is your workspace id. Your email address is not attached to them.

Who it is shared with

We do not sell your data and we do not share it for advertising. It reaches these companies only so the service can work:

• Vercel — hosting, and storage for uploaded documents.
• Neon — the database.
• Clerk — sign-in and accounts.
• Anthropic — the AI features. This one deserves a straight answer: see below.
• Sentry — error reports, stripped as described above.
• Google Maps — map display and location lookup.

The marketing pages can load a Meta advertising pixel, and it is currently switched off. If it is turned on, it runs on the public pages only and never inside the signed-in app, so an ad platform never sees your business data.

What the AI features send

When you run Summarize, Estimate Demand, Organizer Questions, Explain Score, or Generate Outreach Email, the details of that one event go to Anthropic to produce the answer. That includes the event title, type, dates, location, expected attendance, vendor fee and description, plus your business name and city.

The outreach email action also sends the organizer's name and email address, because the draft is addressed to them.

Anthropic processes this to return the answer and does not use it to train their models. Nothing else — your actuals, your margins, your staff, your documents — is sent to any AI service. If you would rather nothing left at all, simply do not use those five buttons; every other part of the app works without them.

People who never signed up

Staff and organizer contacts are in the app because you put them there. You are responsible for having a reason to hold their details, and for telling them if they ask. We hold that information on your behalf and do not contact those people ourselves. If one of them asks us directly to remove their details, we will tell you rather than act unilaterally on your records — unless the law requires otherwise.

How long it is kept

Your workspace data is kept while your account is open. Ask us to delete it and we will, within 30 days, including uploaded documents. Waitlist emails are kept until you ask to be removed or until the beta ends, whichever comes first. Error reports expire on Sentry's own schedule, typically within 90 days.

During the beta, keep your own copies of anything you cannot lose. This is early software and the terms describe what that means.

Your choices

• Get a copy of your data, in a usable format.
• Correct anything wrong — most of it you can edit directly.
• Have your account and its data deleted.
• Come off the waitlist.

Security, honestly stated

Data is encrypted in transit and at rest by the services above. Each workspace is separated, and every query is scoped to it. Documents are stored with unguessable URLs.

What we will not claim: this is a small operation and it has not been independently audited. Store what you need the app to work with, and think twice before uploading anything you would not be willing to lose or have exposed.

Children

Event Hunter is for businesses and is not intended for anyone under 18.

Changes

If this policy changes in a way that affects what is collected or who it goes to, beta members will be emailed directly rather than left to notice a new date at the top of the page.
